Move one: size the floor for the midpoint of the hiring plan

Start from 175 rentable square feet per person, then choose the headcount to multiply. Today's number gives you a floor that is full the month you move in. The stretch case gives you rows of empty desks you are paying for. The midpoint between today and where the plan says you will be is the number that survives both outcomes.

A team of 25 with 45 in the plan sizes for about 35, which is roughly 6,125 square feet. Two rules of thumb apply. Teams that expect to hire usually take 15 to 25 percent more than current headcount needs. Most hybrid teams land 10 to 20 percent below a full-time footprint. The office space calculator runs both.

Move two: match the term to how far you can forecast

A term is a bet on how long the floor will fit. If you can forecast headcount for a year and no further, a long lease is a guess. If you can see 18 months or more, a longer term earns better economics. On a private floor a 12-month term is achievable, though 24 or 36 months is what landlords more often sign. Rent per square foot rises as the term gets shorter, so treat that premium as the cost of deciding again sooner.

Move three: write growth rights into the deal

The clauses that let a company between funding rounds grow without moving are cheap to ask for at signing and close to impossible to add later.

  • An expansion option on a specific suite or floor, so the next 20 hires have somewhere to sit.
  • A first look at adjacent space when it comes free, known as a right of first offer.
  • The right to sublet surplus space, which turns empty desks into partly recovered rent if hiring slows.

We are 25 people and may be 45 in a year. What size floor should we tour?

Tour around 6,000 to 8,000 square feet. The midpoint of 35 people needs about 6,125 at 175 each, and the full 45 would need about 7,875. Which end you choose depends on how sure the plan is and whether the building can promise you more space later.

Is it better to carry empty desks or to move again in 18 months?

Usually to carry them, within reason. Our Series A playbook's view is that surplus held for a year tends to cost less than a second move inside the term, which brings a new deposit, a new setup and weeks of disruption. The limit is the base case: do not rent for hires the plan itself treats as a stretch.

What if the next round is delayed and the floor is too big?

That is what the sublet right is for. A company that stalls can recover part of its cost by subletting a discrete section, if the lease allows it and the landlord consents. A shorter term limits the exposure in a different way. Agree both before signing, and have your attorney confirm the sublet clause.

Does a hybrid schedule let a growing team rent less space?

Somewhat. Most hybrid teams end up 10 to 20 percent below a full-time footprint, because shared desks save workstations while the team asks for more rooms to meet in. Apply that discount to the midpoint headcount, not to today's.
