Office Flex Space for Rent: Six Questions That Let a Fast-Moving Team Decide
A team renting office flex space quickly will usually hold two or three offers that are built differently: one quoted per desk with everything included, another quoted per square foot with extras on top. Put the same six questions to each: what it costs per head all in, who shares the floor, where the next ten people go, who stands behind the space, what leaving costs, and when the desks will really be working. Fast is realistic. Three to five floors can be toured in one afternoon, and a furnished floor is usually occupied two to four weeks after signing.

Six questions to put to every flex offer
- What does it cost per head each month, all in? Count every extra, at your headcount.
- Who else is on the floor? Ask about the entrance, the meeting rooms and who decides access.
- Where do the next ten people sit? Ask if the neighboring suite can be taken later, and how much warning that needs.
- Who is the counterparty? Find out whether it is the building's owner or an operator, how many years it has been running the space, and what a sale of the building would do to your agreement.
- What does it take to leave? Read the notice period, how renewal works, and whether you must restore the space.
- When will the desks really be working? Get the date with furniture in and internet live, not the date on the brochure.
Putting a per-desk offer and a per-square-foot offer into one number
The offers will not arrive in the same unit, so convert them. A per-desk offer is desks times the monthly rate, plus anything metered: meeting room hours, printing, guest passes. A per-square-foot offer is the area times the annual rent, divided by 12, plus electricity and any service not included.
Say one offer is 25 desks at $1,000 each and another is 4,375 square feet at an illustrative $60. The first is $25,000 a month. The second is about $21,875 a month before electricity. Both figures are invented to show the method.
The exit, compared before anyone signs
A flex agreement is easy to enter, and the cost of that shows up when you go. Line up three things on every offer. The notice period: how many months before you can leave, and whether a membership renews itself unless you cancel. The renewal terms: whether you have a right to stay, and at what rent. And restoration: whether you must return the space to its original condition. Your attorney should confirm how each agreement words these.
What fast realistically means for a team of 25
Fast is weeks, not days, on a private floor. Three to five floors can be toured in one afternoon. Once the lease is signed, a furnished floor is usually occupied within two to four weeks. A floor built to order takes 10 to 16 weeks, which rules it out for a team in a hurry.

How do we compare an all-inclusive desk price with a rent per square foot?
Convert both to dollars per month for your headcount. Desks times the rate gives the first. Area times the annual rent, divided by 12, gives the second, and you then add electricity and any service the desk price included. Plan on 175 rentable square feet per person to get the area.
What is a restoration clause, and why does it matter on a short term?
It is a duty to return the space in a stated condition when you leave. On a term of a year or two the cost is spread over very few months, so it weighs more. Ask for language that lets you return the floor as you received it, and have your attorney confirm it.
Can 25 people really be in a new office within a month?
From signing, often yes on a furnished floor. From the first tour, plan on six to eight weeks, because the proposal and the lease come before the keys. That is a typical range and not a commitment for any one floor.
We already have two offers. Is there any point in calling a broker now?
Yes, for two reasons. The terms in front of you are opening positions, and the deposit, the renewal and the notice period can still be negotiated. And a third option gives you leverage on the first two. A first shortlist can be ready within 24 hours, so it need not slow the decision.
