Sizing a hub on the busiest day, not on payroll

Start with attendance. Badge or calendar data from a few ordinary weeks shows how many people come in on the busiest day, and that number sets the desks. Say a company has 14 people in New York and 12 of them come in on the peak day: 12 desks at 175 square feet a person is 2,100 square feet, about 14 percent under the 2,450 a full-time office would need.

Do not expect the savings to match the empty desks. Fewer workstations means more demand for rooms, because the days people come in are the days they meet. A workable ratio is a closed meeting room per eight to ten people, plus a phone booth for roughly every twelve. What a hub is for, and what a satellite office adds

A hub is not a smaller headquarters. Its job is the days people gather: onboarding, planning sessions, client meetings, and a reliable desk for the people who want one. So it carries more meeting space per person than a full-time office and fewer assigned desks.

A satellite office is the same idea for a company based elsewhere: a New York base for sales, client work and local hires. What a mostly remote team should look for

  • Location by commute. Map where your New York people live. For people on Metro-North, look near Grand Central; for the LIRR and NJ Transit, near Penn Station; for a team spread across the subway map, Union Square.
  • Meeting rooms and booths ready for video calls, since most meetings will include someone remote.
  • Furnished and serviced. A team that is rarely all in should not be buying desks or managing cleaners.
  • Your own door. A private floor means your own reception and no other company's guests.

How short the term can be, and how soon a remote team can be in

On a private floor, 12 months is the practical minimum, and 24 or 36 months is more common and usually better priced. Anything shorter is a coworking membership, which for fewer than about 15 people is often the cheaper route anyway.

Can a hub run on shared desks?

Yes. Hot desking, where any open seat is available, works when the booking rules are clear and storage is generous. Count desks from peak attendance and put the space you save into meeting rooms.

What if more people start coming in than the hub was sized for?

The shared space takes it first. A hub can open with extra collaboration area that turns into desks as attendance rises, with no construction. Past that point the short term helps: the next decision is a year or two away, and a renewal option or a right to take adjacent space can be negotiated into a flexible lease at signing.
