Shared Private Office Space: Three Ways to Get a Door That Closes
A shared private office is an enclosed, lockable room for your team on a floor you share with other companies: the room is yours, and the reception, kitchen and meeting rooms are not. A team of 5 to 12 in Manhattan can get one three ways: a private room inside a coworking space, a spare office sublet from another company, or a small suite of its own. Coworking desks cost roughly $800 to $1,400 a month each, and a private room prices every seat above an open desk. Option one: a private room inside a coworking floor
This is what most people mean by a shared private office. You rent a desk per month for each person, and the desks sit behind a door that locks. Furniture, internet and cleaning come with it.
The room costs more per desk than the open floor for a plain reason: walls take up area that open seating would fill, and the room is reserved for you whether or not every seat is used. Eight seats at Manhattan desk prices come to $6,400 to $11,200 a month, and a private room tends to sit toward the top of that range. The agreement is a membership, usually monthly or for a set number of months, and it ends on short notice.
Option two: a spare office in another company's suite
A company with more space than it needs can sublet part of its floor to you: a few offices or one side of the suite, usually furnished and usually below direct asking rent. You share its entrance, pantry and conference rooms.
Two conditions apply. The host company's own lease has to allow it, and its landlord has to consent. Ask to see that consent, and have your attorney confirm both points against the lease itself. Put the shared entrance, pantry and conference room hours in the written agreement. The arrangement runs only as long as the host's lease does, and consent can take a few weeks. Option three: a small suite with nobody else in it
A suite of your own is leased for a term: about 12 months at the short end, with 24 and 36 more common. Plan on 175 rentable square feet per person, so five people need roughly 875 square feet and twelve need about 2,100. When a small floor of your own costs about the same
Run the numbers at the top of this size range. Say twelve people pay $1,200 a desk for a private room, which is $14,400 a month. Say a 2,100 square foot floor asks $55 a square foot a year: the rent is about $9,600 a month, before electricity, internet, cleaning and any furniture are added.
For five or six people the bundled room usually still wins once those extras are counted. By twelve the two can meet, and on a lower-priced floor the suite can come out ahead. How much does it cost to rent a desk per month in a private room?
Manhattan coworking goes for about $800 to $1,400 a month per desk. A seat inside a private room is priced above an open desk on the same floor, so expect the upper part of that range. Ask what the fee includes, since meeting room hours and printing are often metered.
Does the landlord have to approve sharing another company's office?
Generally, yes. Most office leases require the landlord's consent before a tenant sublets any part of its space, and some restrict it further. The host company's lease decides, so have your attorney read it and confirm that consent has been given in writing.
How long can a team stay in a shared private office?
In a coworking room, as long as you keep renewing, though the rate and the room can change at renewal. In another company's suite, until its lease ends or the date in your sublease, whichever comes first. In your own suite, for the term you signed, plus any renewal option you negotiated.
