The three things to send, and a fourth that helps
- Headcount: how many people need a desk on move-in day, and how many you expect 12 to 18 months later. The second number matters as much as the first.
- The move-in date: the day you want to be working there, and whether something fixes it, such as a lease ending or a membership running out.
- The budget: a monthly figure the company can carry, even a rough one. A range is fine.
- Neighborhoods: where you would consider, or simply where most of the team lives. Every floor we list is in Manhattan.
That is enough. Must-haves such as light, a number of meeting rooms or a furnished floor sharpen the list, but nobody needs a finished brief to begin. The start page takes these in a few minutes.
The first 24 hours, in order
- Within the hour, during business hours: a broker calls or writes. Expect a few questions, mostly about the date and how firm the budget is.
- The same day: the broker turns your numbers into a requirement. Headcount becomes a square footage at 175 square feet per person, and the budget becomes a ceiling per square foot.
- Within 24 hours: a first shortlist can be ready, each floor with its address, size and asking rent, and a note on how soon it could be occupied.
- Next: you pick the ones worth seeing, and the tour is booked for a single afternoon.

What a stated budget does to the list: the middle price band
A budget is the fastest filter there is. Divide the monthly figure by the square feet you need, multiply by twelve, and you have a rate per square foot per year, the unit every Manhattan landlord quotes in. A tenant who states a mid-range budget gets a list drawn from the middle band, and the block on this page shows that band as it stands: the floors, their sizes and what each asks. A different budget produces a different cut, which is why we ask for the number first.
If the team is months from ready
Then this is the right time to send the three numbers. A custom space is best started six to nine months out, and a furnished floor two to three, so a team that writes early gets a plan and a team that writes late gets whatever is left. We will say honestly whether to begin touring or to keep planning.
What the first call costs a tenant
Usually nothing. In most transactions the landlord pays the broker fee when the lease is signed, and the commission agreement decides it deal by deal, so ask how we are paid on yours. What if we do not know our budget yet?
Send headcount and the date and say so. A broker can show what floors of the right size cost in two neighborhoods, which is usually enough to set one. The office space calculator gives a first estimate from headcount alone.
What might a tenant rep ask us to sign before the search starts?
That depends on the firm. Some tenant reps want a representation agreement in place early, sometimes an exclusive with a set end date, and some begin work from the brief. Sending the three numbers commits you to nothing. When the broker calls back, ask what paperwork comes next and at what point.
How many floors will be on the first shortlist?
Usually three to five, enough to compare and few enough to tour in one afternoon. If more than that fit, the list is narrowed to the ones closest to your date and budget, and you can ask to see the rest.
