A private office's yearly rate, turned into a monthly rent

Landlords quote one number, and it covers twelve months. Three steps turn it into a monthly figure: take the rentable square feet, multiply by the rate, divide by twelve. Say a 3,500 square foot office asks $60: that is $210,000 a year, or $17,500 a month. Rent per square foot, explained walks through the conversion with live numbers.

The square feet in that sum are rentable, a measure that includes a share of the building's common areas. The part you can furnish is 15 to 25 percent smaller. At the usual planning figure, 3,500 square feet suits about 20 people.

What a private office lease adds on top of the rent

  • Electricity. On 3,500 square feet, the usual charge works out to about $580 to $1,170 a month.
  • Escalations. The rent steps up every year, so by the third year you are paying roughly 5 to 6 percent more than in the first.
  • Security. A deposit or a letter of credit, typically several months of rent and more for a young company. It is due up front, and both the amount and the form are negotiable.
  • Furniture and cabling. A one-time cost that disappears when the floor comes furnished.
  • Buildout beyond the landlord's allowance, when the space needs work.

Per person: a private office against coworking desks

Coworking charges about $800 to $1,400 monthly for a desk, with everything included. In the example above, 20 people share $17,500 of rent and about $900 of electricity, which is roughly $920 a person before internet, cleaning and furniture.

That is why the comparison turns on team size. Under roughly 15 people the desks tend to be cheaper, since the extras and the commitment fall on a small base. From about 20 people up, the leased office tends to win, and it keeps winning as the team grows into the space.

What to read in a private office lease before signing

  • The escalation clause: a fixed yearly step, or a share of building costs above a base year, or both.
  • How electricity is charged: by a meter on your floor or as a flat amount.
  • The security: its size, its form, and a schedule that hands part of it back as you pay on time.
  • The guarantee: a good guy guarantee is narrower than a full personal one.
  • Restoration and sublet rights: what you must undo when you leave, and whether you may pass the space on.
