For a startup watching its budget, the best idea is to build as little as possible: start from a prebuilt floor, where the pantry and meeting rooms already exist and the wiring often does too, and spend only on what people notice. In order, that means rooms and phone booths, then lighting, then acoustics, then one considered gesture at the entrance. Skip costly finishes and custom millwork.   • Rooms and booths come first. Teams on video calls always need more than they planned, and booths are hard to add later.
  • Lighting is second. It changes how a floor feels more than any finish does.
  • Acoustics are third: ceiling panels, rugs, soft surfaces. Loft floors with hard surfaces carry sound.
  • The entrance is fourth. One deliberate piece, a wall, a sign or a reception desk, does more than upgraded finishes everywhere.

Ceiling height and daylight matter more than any of these, and they come with the floor, so pick the floor for them. In a prewar loft, restraint is the design: brick, columns and windows already do the work.

What to skip when the budget is limited

  • Custom millwork, the line where finish budgets quietly double.
  • Glass fronts on rooms that could have solid walls, and rooms that could be furniture.
  • A relocated pantry or new plumbing. Wet work is among the costliest items in any buildout.
  • New air distribution on a floor where the existing layout nearly works.

Open area costs the least to build, so each room you can do without lowers the bill.

Planning the fit-out for the next round of hiring

A fit-out is wasted if it has to be redone within a year. Lay the floor out for the 18-month headcount and open with the spare area as lounge or project space that can take desks later. Use furniture systems where walls are not essential, and leave spare power and data in the open areas. Growth then means moving furniture over a weekend, not a second construction project.

The budget: what the landlord pays and what the startup pays

On a direct lease the landlord's improvement allowance funds part of the hard construction, paid against invoices, and its size is negotiated together with the rent. Furniture, cabling and moving usually fall outside it, as does any construction above the allowance. Get a contractor's estimate on your plan before the allowance is agreed. Start from a prebuilt floor and customize lightly

A prebuilt floor has been built by the landlord to a finished standard and is often furnished as well. A startup can usually be working in one within two to four weeks of signing, against 10 to 16 weeks for a custom buildout. Can a startup change the layout of a prebuilt floor?

Usually, with the landlord's consent. Paint, furniture, booths and signage are routine requests. Moving walls is possible, but it gives back the speed you chose the floor for, and the lease may require the original layout to be restored when you leave. Agree the changes before signing.

What is the best use of a small fit-out budget?

Phone booths and one more meeting room. Our buildout guide puts rooms and booths at the top of the spending order because video-heavy teams run short of them first, and they are the hardest thing to add once the floor is occupied.

How much does furniture add to a startup fit-out?

Does a small office need an architect?

For a custom buildout, yes: drawings are needed for the landlord's approval and for any filings. For a prebuilt floor with light changes, a furniture plan and a capable contractor are often enough. Ask the landlord what its consent process requires.
