The renewal timeline, counted back from expiry
- 18 months out: the market check. What comparable floors ask, and what is empty in your own building.
- 12 to 18 months: tours of real alternatives, and the first conversation with the landlord.
- The option window: if your lease has a renewal option, its notice deadline often falls months before expiry.
- Inside six months: the landlord knows a move with construction no longer fits the calendar, and prices the renewal accordingly.
- The day after expiry: holdover.
Time is the leverage. A company that starts early is choosing. One that starts late is asking.
The market check: pricing the stay against real floors
A renewal spares you a buildout, a move and weeks of disruption, and landlords price that convenience into a thinner offer. The other side of the ledger is the landlord's: if you leave, the building faces months of vacancy, work for the next tenant, commissions and free rent.

What a good renewal includes besides the rent

- A fix for the building problem you have lived with.
These are what a tenant asks for, not what a tenant is owed. What a landlord grants depends on the building and on how real your alternative is.
Renegotiating in place before the lease ends
A renewal does not have to wait for the last year. A landlord facing a soft market or a refinancing will sometimes trade a lower rent now for added years, an arrangement usually called blend and extend. Other versions exchange a longer commitment for a refreshed allowance, or put a price on the right to give back part of the floor.
It starts as one conversation, with the market check already done. If the landlord declines, you have learned how the renewal itself will go.
Holdover and the option notice window
Holdover is staying past expiry with no signed renewal. New York office leases commonly charge 150 to 200 percent of the last rent for it, and some add liability for the landlord's losses. The holdover entry explains the clause.
A renewal option is used by written notice, inside its window, sent the way the lease requires. A late or misdirected notice usually loses the right. Your attorney should confirm both the holdover terms and the notice method in your lease.

Who should use tenant advocacy at a renewal?
Any tenant with a lease ending in the next year or two, and above all a company whose headcount has changed since it signed. The floor was sized for a different team, and the renewal is the moment to correct that.
Is a broker worth it if we already know we want to stay?
Yes. The landlord will have professional representation and better information on what nearby deals closed at. A renewal negotiated alone is priced on that imbalance. Ask at the outset how the broker would be paid on a renewal, since each deal's commission terms decide it.
Can the landlord decline to renew our lease?
Without a renewal option in the lease, generally yes: the space returns to the landlord at expiry. That is the reason to start early enough that a refusal sends you to a prepared alternative. Have your attorney confirm what your lease provides.
Our lease ends in eight months. Is it too late to negotiate?
No, but the alternatives are fewer. A furnished or pre-built floor is still a real option at that distance, because a team that decides quickly needs six to eight weeks from first tour to move-in. Start the market check now, and get any short extension in writing.
